Assistant Event Manager

The Assistant Event Manager plays an important role in bringing memorable events to life at White Point Beach Resort. Working closely with the Event Services Manager and the entire events team, this role supports the day-to-day operations of the department while helping plan and execute a wide range of events, including conferences, seminars, conventions, trade shows, weddings, and social celebrations.

From the first inquiry through to the final details of an event, the Assistant Event Manager ensures each experience is thoughtfully organized and seamlessly delivered. This includes supporting clients directly, preparing proposals and contracts, coordinating group reservations, assisting with billing, and collaborating with departments across the resort to bring every event to life.

Responsibilities:

  • Provide attentive, welcoming, and professional service to all guests and clients.
  • Support the daily operations of the Events Department and assist with administrative responsibilities as required.
  • Respond to group and event inquiries from external guests as well as our Sales Office.
  • Assist with group and convention sales, including preparing proposals, contracts, and follow-up communications.
  • Coordinate event details with clients including rooming lists, food and beverage selections, meeting schedules, and event setups.
  • Work closely with clients to ensure all arrangements are clearly organized and executed smoothly.
  • Communicate event requirements and group details with appropriate resort departments to ensure seamless coordination.
  • Provide helpful recommendations to clients regarding accommodations, catering, venue selection, entertainment, and additional services.
  • Participate in planning meetings and contribute to event discussions as required by the Event Services Manager.
  • Support the Events Team by maintaining high service standards and a collaborative team environment.
  • Perform additional duties as assigned by the Event Services Manager.

Qualifications:

  • Strong interpersonal and communication skills, both written and verbal.
  • Exceptional organizational skills with strong attention to detail.
  • Ability to manage multiple priorities and remain calm in a fast-paced environment.
  • Creative problem-solving skills and a proactive mindset.
  • A collaborative team player who is also comfortable working independently.
  • Passion for hospitality and a commitment to delivering outstanding guest experiences.
  • Previous event planning experience is considered an asset.
  • Previous food and beverage or catering experience is considered an asset.
  • Current Serve Safe certification required.

  • Must be available to work flexible hours, including days, evenings, weekends, and holidays.
